What to Do When a Shipment to Canada Goes Missing Because of a Wrong Postal Code

When shipping to Canada, one wrong character in the postal code can get your parcel sorted to the wrong area, causing late delivery or loss. Unlike in Vietnam, Canada’s postal code system (in the format A1B 2C3) is the core of how last-mile carriers sort parcels automatically by machine. A small typo can send your box to another province thousands of kilometres away.

If you have a shipment from Vietnam to Canada with this problem, here is a step-by-step process to resolve it quickly with last-mile carriers in Mississauga and Ontario.

Why does a wrong postal code make parcels go missing?

In Canada, the automatic scanners of last-mile carriers such as Canada Post, Purolator and UPS read the postal code first to load parcels onto large trucks heading for sorting hubs. The handwritten address or street name is only looked at in the final step, when the driver reaches the recipient’s neighbourhood.

When the postal code is wrong:

  • The box is sent to a post office in another city or province.
  • The scanner flags a mismatch between the street name and the postal code, and the order immediately goes “On Hold” or “Address Insufficient”.
  • Without prompt action from the sender or recipient, after 3–5 business days the parcel may be returned automatically to the main warehouse or, worse, to Vietnam at great cost.

3 steps to take when you find a wrong postal code

As soon as you check the tracking online and see an unusual status such as “Address Correction Required”, or the parcel has sat at a transit warehouse in Mississauga for days, act immediately.

Step 1: Find the parcel’s current location with the tracking number

Go to the online tracking system of the carrier in Vietnam or the last-mile carrier in Canada. Find out whether the parcel has cleared customs and been handed to the last-mile depot.

  • If it is still in the air or waiting for clearance at Toronto Pearson airport: Tell your carrier in Vietnam right away so they can change the details in the main system before the parcel is scanned for sorting.
  • If it is already at the warehouse in Mississauga: You must contact the last-mile warehouse directly.

Step 2: Prepare the correct details to request an address change

For depot staff to correct the label on the box, prepare all of the following:

  • The original tracking number.
  • The exact correct address (house number, street name, apartment number if any, city, province and the correct 6-character postal code).
  • The recipient’s phone number in Canada (preferably one that can receive texts, so the driver can contact them on delivery).
  • Proof that you own the shipment (such as the original shipping receipt or a photo of the box before it was sent).

Step 3: Contact the support office in Canada

For shipments sent with Soleil Transportation’s dedicated service, we run our own warehouse in Mississauga (2446 Cawthra Road, B1U8, Mississauga, Ontario, Canada L5A 3K6). When you find a problem, you or the recipient in Canada can contact us right away so our staff can hold the parcel at the warehouse before the last-mile carrier returns it.

We work directly with our domestic delivery partners to apply a new label with the correct postal code, so the parcel can continue its journey without a long delay.

Key tips to avoid mistakes when shipping to Canada

To keep your air shipments to Canada (from $16/kg) running smoothly and arriving within the promised 7–14 days, follow these packing and labelling principles:

  • Check the postal code format carefully: Canadian postal codes always alternate letter–number–letter [space] number–letter–number (for example, L5A 3K6). Don’t confuse the letter “O” with the number “0”, or the letter “I” with the number “1”.
  • Print labels clearly: Don’t handwrite the address on the carton with ink that smudges. Print the label on a thermal printer, or cover the address paper with clear tape.
  • Use a carrier with real support: Choose a provider with an office and warehouse in Canada, so that when something goes wrong, someone can actually go to the depot to sort it out instead of just sending automated emails.
